Marketing analytics, chat tools, recruitment forms and employee systems must be added to the notice before they collect personal information. The public policy should show an effective date and a clear record of any material updates. Enquiry and recruitment workflows should also be tested so consent wording, required fields and deletion requests behave exactly as the published notice says they do. The final approved text should be version-controlled, reviewed after material service changes and linked from every page or form where a person is asked to provide information.
